Randstad considers the privacy of its candidates, staffing employees, employees and its other relations and visitors to the website is of essential importance. Personal data is therefore handled and secured with the greatest possible care, in accordance with the relevant requirements of the General Data Protection Regulation and the Personal Data Act.

This notice explains who we are, for what purposes we may use your personal data, how we handle it, to whom we may disclose it, where it may be transferred to or accessible from and what your rights are.

Randstad A/S, (CVR number 25 05 05 41) having office at Vester Farimagsgade 7, 2, 1606 København V, (hereinafter referred to as: ’we’, ‘us’ or ‘Randstad Denmark’), will process your personal data in accordance with this data protection notice (such personal data sometimes also referred to as “information”). We collect and process your personal data:  

  • To provide and manage the services that you requested by registering at Randstad, i.e. to find suitable jobs or assignments. Thereby, we assess your suitability and availability in connection with placement in permanent or fixed-term jobs or an assignment, in which case test results, reference checks etc. may also be used. 
  • To conduct a pre-employment screening where this is necessary for the job or assignment you have applied for.
  • Contract and maintain an employment or personnel/placement relationship with you and perform the relevant administration for this purpose incl. legal advice from employer associations.
  • Promote your personal development and employability, including training, education and tests.
  • For management purposes including management information, organizing internal compliance and control, business security, occupational health & safety, performing audits and data analysis and general auditing. 
  • Quality objectives such as certification. 
  • Apply for subsidies, premium discounts etc.
  • If we have contracted an employee or staffing/placement relationship with you, for compliance with laws and regulations, including but not limited to identification, labor law, fiscal and social insurance law, control of fraud and national and international sanctions legislation.
  • To contact you for newsletters, events, promotions and commercial offers that may be of interest to you, only if you have signed up for it (opt-in).
  • Contact you by phone or mail if you have completed one of our campaign forms.

Our ultimate goal is to support people and organizations in realizing their true potential. We believe that the best way to achieve that goal is by combining our passion for people with the power of today’s HR technologies. By HR technologies we mean technologies that help us digitize and enhance a variety of recruitment-related processes. 

For example we use chatbots to improve your talent experience. Chatbots give candidates the opportunity to answer questions based on the requirements of the job they apply for.  This is a user-friendly way for candidates to:

  • provide us with relevant information that may not be readily apparent from the application, profile or resume of a candidate.
  • know promptly whether their skills meet a job’s essential requirements and, if not, to easily explore other jobs or to identify gaps in their skillset.
  • answer at any moment convenient to the user.

As part of the larger recruitment process, HR technologies allow us to connect candidates more quickly to our consultants.  This, in turn, allows our consultants to better support candidates in exploring jobs and to deliver the right candidates more quickly to our clients. HR technologies also allow our consultants to find people based not only on the jobs they qualify for but also on the basis of jobs they are interested in.

Web-beacons (pixel tag)

Our emails may contain a single, campaign-unique "web beacon pixel" to tell us whether our emails are opened and verify any clicks through to links or advertisements within the email. We may use this information for purposes including determining which of our emails are more interesting to users, to query whether users who do not open our emails, wish to continue receiving them and to inform our advertisers in aggregate how many users have clicked on their advertisements. The pixel will be deleted when you delete the email. If you do not wish the pixel to be downloaded to your device, you should select to receive emails from us in plain text rather than HTML.

Randstad is committed to the ethical and responsible use of innovative HR technologies (you can read our AI principles here). Randstad does not use these technologies as a substitute for humans or human interaction in any part of its processes. Instead, our use of HR technologies is intended to make interactions with clients and candidates more personal, relevant and meaningful.

We strive to involve human beings whenever we make decisions that significantly impact you.  If, in exceptional cases, we were to make such decisions based on a fully automated process (ie. without involvement of humans), we will only do so where that is permitted by law and after having notified you.

To ensure all candidates are treated fairly we take steps to avoid bias where we use HR technologies. For example:

  • We regularly test the output created by these technologies to identify potential unfair bias.
  • We regularly obtain expert advice to continuously improve the way in which we identify and remove bias.
  • Both our consultants and our search and match algorithms are thoroughly trained and always work together. 

how we protect your personal data

Randstad has adopted the appropriate technical and organisational measures to protect personal data from loss, misuse, unauthorised access, disclosure, alteration and destruction. To ensure that personal data is processed in a secure and confidential manner, we use data networks that are protected against hacking by such means as firewalls and password protection according to industry standards. To ensure that we can safeguard the personal data that you provide to us via the Internet, we may use encryption technology when we transfer such personal data to our servers over the Internet. Randstad employees and suppliers are bound by confidentiality agreements and are obliged to comply with Randstad's rules for information and IT security, internal policies concerning the processing of personal data and other internal regulations and guidelines that further regulate the processing of personal data.

your data protection rights

Under GDPR, you have the right to request: 

  • Access to personal data we process about you.
  • Rectification of your personal data.
  • Erasure of your personal data, commonly known as "the right to be forgotten". This right is conditioned and a request may be left without action.
  • Restriction of processing of your personal data. This right is conditioned and a request may be left without action.
  • Portability of your personal data. 
  • Object to the processing of your personal data. This right also applies to the processing of personal data for direct marketing purposes.

You have the right to lodge a complaint to the Data Protection Authority at any time if you believe that Randstad processes your personal data in conflict with applicable data protection legislation.

We do not make use of automated decision-making which is solely based on automated processing, including profiling. 

Where we process your personal data based on your consent, you have the right to withdraw this consent at any time. However, when you withdraw your consent, this does not affect the legitimacy of any processing based on your prior consent, before we have received your withdrawal or in the case of further processing of the same data on a different legal basis, such as an agreement or legal obligation of Randstad. 

You can withdraw your consent:

  • If you have opted in to receive newsletters, information for events, alerts or other messages you can unsubscribe via the unsubscribe option in the email you received.
  • by sending an email to dpo@randstad.dk.  

Making use of your rights

For candidates, staffing employees and self-employed persons who have a profile registered at MitRandstad you can get access to a large part of the personal data recorded about you. You can change a number of data yourself at any time, for example by making changes to your CV or your account details.

If you wish to access all your processed personal information, then please send a request via www.randstad.dk/dsr

If you wish to rectify personal data, which you can not change by yourself, or delete your personal data please write an email to dpo@randstad.dk

When sending a request for use of your rights, Randstad may retain a log of your request. This is necessary for our legitimate interest to establish, filing or defending legal claims.
